Fixed vs. Variable Costs

A reference for creator business operators — including the three costs that get misclassified most often.

The test: does this cost change if your sales volume changes? If no, it's fixed. If yes, it's variable.

Where this usually goes wrong

Contractor costs are often semi-variable, not automatically fixed.

A retainer contractor is fixed. A contractor paid per project or per deliverable moves with your output — that's variable, even though "I pay a contractor" feels like one category.

Payment processing fees are frequently left out entirely.

They don't show up as a separate line item anywhere obvious — they're deducted before the money hits your account — so they're the easiest real cost to miss when building an expense list from memory.

Platform revenue shares are a cost of goods sold, not a platform cost.

If a platform takes a percentage of every sale, that's not the same category as your monthly subscription to that platform. It's directly tied to revenue, so it belongs with variable costs.
